    "body": "Add or remove team seats A seat is a place for one person to work in your Dave business with their own login. The current plan includes you and one teammate. Admins and crew members use the same kind of seat. Your customers don't need one to view their estimates, invoices, or client portal. Open Settings → Your team to see how many seats are available. How much does my team cost? Count everyone who needs a login, including yourself. The current plan is $99/month or $948/year , with the first 2 seats included. Each extra seat adds $20/month or $192/year. For a team of 5, that means 2 included seats and 3 paid extra seats: | Billing option | Total for 5 people | | | | | Monthly | $159 each month | | Yearly | $1,524 paid yearly, equivalent to $127/month | Use the to check a different team size. Any applicable taxes, discounts, and credits appear when you review a payment. Invite a teammate 1. Choose Invite a teammate . 2. Enter their email and choose their access: All access admin or Crew member with the permissions they need. 3. If a seat is available, send the invitation at no additional charge. If you need a paid seat, choose Review seat & invitation . 4. Review the amount due now and the next renewal total, then confirm payment. The invitation is sent after payment succeeds. Extra seats cost $20/month or $192/year , matching your business's billing cycle. When you add one partway through a period, you only pay for the time left in that month or year. Your renewal date stays the same. An invitation reserves a seat. If it expires or you revoke it, the seat becomes available again. A paid seat still renews until you schedule its removal , even if nobody joins. When someone leaves Remove them in Your team to stop their access. For a paid seat, choose Keep the seat for someone else or Remove one paid seat at renewal . You can also use Remove unused paid seats to reduce spare seats. Your bill goes down at the next renewal; there's no refund for the time already paid for. Removing someone's access alone doesn't reduce your bill. Related articles Need help? When reminders are on, Dave automatically follows up with your client on a fixed schedule based on the invoice due date . Turn reminders on 1. Create or open an unpaid invoice and make sure it has a due date . 2. Choose who should receive the invoice (email, text, or both). 3. Turn on Payment reminders on the invoice form, in the send dialog, or from the invoice menu after it has been sent. 4. Send the invoice. You can also set a default in Settings → Invoice so new invoices start with reminders on. Select Learn more next to the reminders switch in Dave to see the schedule at a glance. Reminder schedule Dave can send up to four reminders per invoice: | Reminder | When it sends | | | | | Friendly nudge | 3 days before the due date | | Due today | On the due date | | Overdue reminder | 3 days after the due date | | Final reminder | 14 days after the due date | Each reminder is scheduled for about 9:00 AM in your business timezone. If a reminder date is already in the past when you turn reminders on (for example, the invoice is already overdue), Dave skips that reminder and only schedules future ones. Who gets reminders Reminders go to the same people and channels you used when you sent the invoice: Email if you sent by email Text (SMS) if you sent by text Both if you sent to contacts on both channels Dave does not invent new recipients — only the contacts you actually sent the invoice to. When reminders stop Reminders stop automatically when: The invoice is paid , refunded , or the remaining balance is $0 The invoice is voided You turn reminders off for that invoice The final reminder has already been sent Pending reminders are cancelled as soon as payment clears or you disable reminders. Reminders that were already delivered are not unsent. Turn reminders off You can turn reminders off at any time: From the success screen right after sending an invoice From the invoice menu on an unpaid invoice By toggling Payment reminders off and saving the change Tips for contractors Always set a clear due date so Dave knows when to schedule follow ups. Send the invoice to the right email and/or phone number first — reminders use those same channels.     "body": "How invoice and payment sync works After QuickBooks is connected, Dave keeps your job billing aligned with your books automatically. Invoices When you send an invoice from Dave: 1. Dave creates or updates the matching invoice in QuickBooks. 2. The customer is synced to QuickBooks if needed. 3. Sync happens in near real time after the invoice is sent. Tax rates must be selected For an invoice to sync tax correctly to QuickBooks, you must select a QB Synced tax rate on the invoice in Dave. These are the rates pulled from QuickBooks and marked with the QuickBooks badge in Taxes . If you leave tax blank, Dave may warn you that the invoice might not sync to QuickBooks. If you select a manual Dave only tax rate, the invoice can still send to your customer, but tax may not sync to QuickBooks. Create or update tax rates in QuickBooks, run Resync Data in Dave, then choose a QB Synced rate on each invoice. See for the full setup flow. Payments When you record a payment in Dave: 1. Dave syncs the payment to the matching QuickBooks invoice. 2. Your invoice balance updates in both systems. For the most accurate records, record payments in Dave whenever possible. Invoice status from QuickBooks If an invoice is marked paid or voided in QuickBooks, that status can appear back in Dave. Payments created directly in QuickBooks do not sync back to Dave. If you have more than one business, switch to the right one first. Your current plan, renewal date, and next bill are shown together. Any tax, discounts, or credits appear in the payment review before you confirm a charge. Switch monthly or yearly 1. Open Your next renewal in Subscription. 2. Choose monthly or yearly, and review the next renewal total. 3. Choose Save renewal change . Nothing is charged today. The new billing cycle starts at your next renewal and applies to your plan and all paid seats. Switching from yearly to monthly starts after your paid year ends, without a partial refund. Update your card or find an invoice Under Payment method , choose Update payment method and save your new details. Find subscription invoices under Recent invoices , where you can download a PDF or pay an outstanding bill. If a seat purchase or restart is unfinished, use Finish your billing change to continue the existing payment. Closing a payment screen doesn't cancel it. Use Cancel unpaid change if you want to stop an unpaid purchase. If you need support, share the reference shown with that change. Cancel renewal Under Renewal , choose Cancel renewal and confirm.     "body": "Pause your subscription for the season Taking a couple of months off? Monthly plans support seasonal pauses. Your business data stays saved, and the pause starts at the end of your paid month. Monthly billing is a good fit if your landscaping, snow removal, or other seasonal business takes time off each year. Yearly plans cannot pause. If you switch from yearly to monthly, you can request a pause once monthly billing begins, after your paid year ends. Set up a pause 1. In Dave on the web, open Settings → Subscription as the owner or an admin. 2. Under Seasonal pause , choose Pause for the season . 3. Check the start date and choose Confirm seasonal pause . Your team can keep working until that date. Then subscription charges stop and your team loses access to day to day work in Dave. Your data and team memberships stay saved, and admins can still open billing settings. A pause replaces any upcoming billing cycle or seat change. It doesn't refund time you've already paid for. Clear any unpaid invoices or pending billing changes first. If Dave says the request is pending, check back for confirmation before assuming billing has stopped. To call off a confirmed pause before it starts, choose Cancel scheduled pause . Come back when you're ready There’s no deadline to restart your subscription. Billing won’t restart automatically, and you won’t be charged for the months you’re paused. 1. Return to Settings → Subscription . 2. Choose Review price & resume . 3. Review the new payment and confirm. A new paid month starts with your existing plan and paid seat count. Your team gets access again after payment succeeds. You can add a custom note and up to six photos from the project. Before you start Connect your business to Google the first time you send a review request. The project needs a client with an email address or phone number you can send to. Where to find Request Review On a project, select Request Review on the client card. On a client profile, select Request Review (Dave may ask you to pick a project first). From the create menu, select Review Request and choose a project. Steps 1. Select Request Review . 2. If this is your first review request, search for your business on Google Maps and connect it. 3. Write your Message — Dave includes a default note you can edit. 4. Optionally select Add Photos to include up to six project photos. 5. Under Send to , choose who should receive the request by email or text. 6. Select Send Review Request . What your client receives Your client gets a link to a review page that includes: Your custom message Project photos you selected A Review Us on Google button that opens Google so they can leave their review After you send Dave confirms when the review request is sent. You can Copy Portal Link to share the review page yourself. On the client profile, you may see Review requested so you know a request was already sent. You can ask again from the review history if the client needs a reminder. Tips Add photos from the project before sending — clients often respond better when they can see their finished job. Select tax on estimates and invoices After tax rates are set up, choose the tax you want when you build an estimate or invoice. Dave uses your default rate automatically when one is set. QuickBooks connected accounts If QuickBooks is connected: 1. Create or update tax rates in QuickBooks first. 2. In Dave, open QuickBooks settings and run Resync Data to pull them in. 3. In Taxes , use rates marked QB Synced (look for the QuickBooks badge). 4. On each invoice you send, select a QB Synced tax rate. Manual Dave only tax rates work on documents in Dave but will not sync to QuickBooks. Each client gets their own portal link. Anyone with that link can access that client's portal, so keep it private. What clients can see When a client opens their portal, they can: View all estimates sent to them View all invoices sent to them See your business contact information Open Contact us to get in touch with you Enable portal access for a client 1. Open the client's profile from Clients or from a project. 2. Select the ⋮ menu on the client profile. 3. Select Enable portal the first time you turn on access for that client. 4. Copy the Portal Link or select Open Portal in New Tab to preview it. 5. Send the link to your client by text or email. After portal access is enabled, the menu option changes to Portal link so you can copy or share it again anytime. Share portal links from estimates and invoices You can also copy a portal link while working on a specific document: 1. Open the estimate or invoice. 2. Open the ⋮ menu. 3. Select Copy Portal Link . 4. Share the link with your client. Estimate and invoice links take the client directly to that document inside their portal. Revoke portal access If you need to turn off a client's portal access, open Portal link from the client menu and select Revoke Portal Access .
