Use AI Note Taker for notes and client meetings

AI Note Taker turns spoken notes and conversations into a note in your project’s logbook. Use it to capture your own thoughts or stay focused on a client conversation without having to type everything as you talk.

It is available in supported iOS and Android versions when the feature is enabled for your business and you can add to the project’s logbook.

Record notes by yourself

Talk through a site visit, an idea, or an update while it is fresh. For example, describe the work completed today, materials you need, or questions to follow up on. Say important names, measurements, and details clearly so you can check them in the finished note.

Record a conversation with a client

Use AI Note Taker during an in-person meeting to capture the discussion for your project notes. Ask everyone’s permission before opening the recorder. You might say, “Is it okay if I record our conversation with Dave to help me write up the project notes?” If anyone declines, take written notes instead.

Once everyone agrees, start recording and place your phone on the table where it can clearly pick up everyone’s voice. Keep the microphone uncovered and choose a quiet spot when possible. You can focus on the conversation, then review the note for decisions, client requests, and next steps afterward.

Start and finish a recording

1. Open Dave AI → AI Note Taker.
2. Select the project if you started from Home. From a project, Dave uses that job.
3. Allow microphone access if prompted. Recording starts when the recorder opens; check the timer before speaking.
4. Speak naturally. Use the Stop control to pause and Play to resume.
5. Select Done to finish. Dave uploads the recording and prepares a note for that project’s logbook.

Each recording supports up to 2 hours in app versions with extended recording support. Older versions may still stop at 15 minutes; update Dave before a longer meeting. Closing the recorder also finishes and queues the recording; closing is not a discard action.

Review the finished note

Check the project’s logbook while the note is being prepared. Longer recordings can take several minutes to upload and process; you can keep using Dave while you wait. A ready notice may offer View. Open the note and correct names, measurements, scope, decisions, and next steps before sharing it or relying on it. Use More actions → Copy transcript when available to compare the note with what was said.

If it is still uploading, check Pending uploads and your connection. If the AI options are absent, check your app version and ask your admin about feature availability and logbook access. You can always write a note instead.
